Artist Submission Terms

1. Your authority

You confirm that you are at least 18 years old and are the artist, an authorized representative, or otherwise have permission to provide the submitted information and materials. You may not submit private contact information, photographs, biographies, or other personal information without appropriate authorization.

2. Accuracy

You agree to provide information that is accurate to the best of your knowledge and not misleading, defamatory, fraudulent, or infringing. You will promptly request a correction if submitted information becomes materially inaccurate.

3. Rights to submitted materials

You retain ownership of materials you submit. You grant Soul Era a non-exclusive, worldwide, royalty-free license to store, reproduce, crop, resize, format, display, distribute, and use the submitted materials to operate, promote, and document The R&B Index and the artist’s inclusion in it. This includes profile pages, discovery features, release pages, maps, social previews, and reasonable promotion of the Index.

You confirm that this use will not violate copyright, trademark, privacy, publicity, contractual, or other rights. You are responsible for obtaining photographer, designer, label, artist, or other permissions when required.

4. Editorial review

All submissions are subject to review. Soul Era may edit for length, clarity, formatting, consistency, accuracy, safety, and fit; request additional information; decline or delay publication; change categorization; or remove a profile. Submission does not guarantee inclusion, placement, verification, promotion, or any commercial opportunity.

5. Public and private information

Approved profile fields—including the artist’s name, image, locations, biography, roles, genres, and public links—may appear publicly. Contact email addresses are used for review, communication, and administration and are not intended for public display unless permission is obtained.

6. Releases and third-party platforms

Music links and release information may be matched, supplemented, or refreshed using Apple Music, Spotify, TIDAL, ACRCloud, or other catalog providers. We cannot guarantee that third-party metadata or links will always be complete, accurate, or available.

7. No payment or agency relationship

Unless separately agreed in writing, submitting or appearing in the Index does not create employment, representation, agency, partnership, exclusivity, compensation, or a promise of booking or promotion. Basic submission and editorial inclusion do not transfer ownership of the artist’s work.

8. Corrections, withdrawal, and removal

The artist or an authorized representative may request corrections, replacement materials, withdrawal of a pending submission, or removal of a published profile by emailing info@soulerarecords.com. We may verify authority before acting. We will stop future public use after a valid removal request, subject to reasonable processing time, legal obligations, archived backups, and materials already distributed or published.

9. Responsibility

You are responsible for claims arising from materials you submitted or permissions you failed to obtain. To the fullest extent permitted by law, you agree to reimburse Soul Era for reasonable losses and costs resulting from a substantiated third-party claim caused by your breach of these terms.
