1. Who we are

The R&B Index is a curated artist discovery platform operated by Soul Era Records (“Soul Era,” “we,” “us,” or “our”). Questions and privacy requests may be sent to info@soulerarecords.com.

2. Information you provide

We may collect information you submit directly, including artist names, locations, roles, sub-genres, biographies, images, contact email addresses, websites, social profiles, streaming links, corrections, and reports about outdated information. Administrative users may also provide information needed to access and manage the site.

Some submitted profile information is intended for public display. Contact email addresses and administrative information are kept private unless we obtain permission to publish them or disclosure is otherwise described in this policy.

3. Information collected automatically

When you use the site, we may collect page paths, interactions, referring domains, broad device categories, and approximate city, region, or country information supplied by our hosting infrastructure. We use random browser and session identifiers to estimate visitors and sessions. These identifiers are hashed before storage and are not intended to identify you by name.

We may temporarily process network information, including an IP address, to prevent abuse, apply rate limits, and protect the site. We do not use raw IP addresses as visitor analytics identifiers. Obvious automated bots and link previews are filtered where reasonably possible, and browser Do Not Track signals are respected by our first-party analytics.

4. Cookies and local storage

The site may use cookies or similar browser storage for preview or administrative access, security, anonymous analytics, display preferences, and features such as saving artists. Saved artists currently remain on the visitor’s device and are not connected to a user account. You can clear these items through your browser settings. The admin analytics dashboard also provides a browser-specific option to exclude your visits.

• Review, edit, publish, and maintain artist profiles and releases.
• Operate search, maps, saved artists, reports, and other site features.
• Respond to submissions, questions, corrections, and removal requests.
• Send administrative notifications about new submissions.
• Measure site use and improve discovery, performance, accessibility, and security.
• Comply with law and enforce our terms.

6. Service providers and music platforms

We may use service providers for website hosting and storage, email delivery, mapping and location lookup, security, and catalog matching. Artist and release pages may link to or use data from services such as Apple Music, Spotify, TIDAL, ACRCloud, Resend, and mapping providers. Those third parties process information under their own privacy policies. We do not control their websites or practices.

7. How information is shared

We may publicly display approved artist profile information and materials. We may share information with service providers that help us operate the site, when required by law, to protect rights or safety, or as part of a business reorganization. We do not sell personal information or share it for cross-context behavioral advertising.

8. Retention and security

We retain information for as long as reasonably necessary to operate the Index, maintain accurate records, resolve disputes, protect the service, and meet legal obligations. Published profiles may remain available while included in the Index; aggregated or de-identified analytics may be retained longer. We use reasonable administrative and technical safeguards, but no online service can guarantee absolute security.

9. Your choices and requests

You may request access to, correction of, or deletion of personal information associated with you or an artist you are authorized to represent. You may also request removal of a profile or withdraw permission for future use of submitted materials. Email info@soulerarecords.com. We may need to verify your identity or authority before completing a request, and some records may be retained where legally or operationally necessary.

10. Children and international visitors

The site is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided information, contact us. If you access the site outside the United States, your information may be processed in the United States or other locations where our providers operate.

11. Changes to this policy

We may update this policy as the Index changes. The effective date above will be revised when material updates are published. Continued use after an update means the revised policy applies to future use.
